Vitel Global Responsible AI & Transparency Statement

Effective Date: September 16, 2026

Vitel Global develops and provides AI-enabled communications and collaboration capabilities intended to improve productivity, accessibility, customer engagement, and business workflows. This statement describes the principles Vitel Global applies to responsible AI design and use. It supplements, but does not replace, contractual terms such as the Vitel AI Supplemental Terms, Vitel Meet Service Terms, Privacy Notice, and customer agreements.

1. Our Responsible AI Principles
Principle What It Means
Human accountability AI should support people, not eliminate appropriate human responsibility. Users should review AI outputs before relying on them for consequential decisions or official records.
Transparency Users should be informed when material AI functionality is involved and should receive understandable information about the purpose and limitations of AI-enabled features.
Privacy and data protection AI features should be designed and operated consistently with applicable privacy obligations, contractual commitments, customer instructions, and data-minimization principles.
Security and resilience AI systems and integrations should be subject to reasonable security controls, access management, monitoring, and risk management appropriate to their function.
Fairness and appropriate use AI should not be intentionally designed or used to facilitate unlawful discrimination, harassment, deception, abuse, or other prohibited conduct.
Quality and continuous improvement AI performance should be monitored and improved over time, with attention to known limitations, error patterns, and user feedback.
Customer control Where reasonably appropriate, customers should have administrative or feature controls governing whether and how AI functions are enabled for their organization.
2. AI in Vitel Meet and Other Services

Depending on the product and configuration, Vitel Global may provide AI-enabled transcription, summaries, highlights, action items, sentiment or engagement indicators, classification, search, analytics, content generation, virtual-agent functionality, or related features. These features may process inputs such as audio, text, prompts, meeting content, metadata, or customer-provided business information to produce machine-generated outputs.

3. AI Output Limitations

AI outputs can contain factual errors, omissions, bias, inappropriate inferences, incorrect speaker attribution, or misleading conclusions. Accuracy can be affected by audio quality, language, accents, overlapping speech, technical terms, incomplete context, prompt design, data quality, and model limitations. AI outputs should not be treated as a substitute for professional judgment or authoritative source material.

Users are responsible for appropriate review before using AI outputs for legal, healthcare, employment, financial, safety, compliance, customer commitments, or other consequential purposes. Where an output matters, verify names, dates, figures, obligations, decisions, quotations, and other material facts.

4. Notice and Consent

Where AI features record, transcribe, monitor, analyze, or otherwise process communications, customers and meeting hosts are responsible for providing legally required notices and obtaining required consents. Vitel Global may provide in-product indicators or controls, but those features do not replace a customer’s independent obligations under recording, privacy, employment, communications, or sector-specific laws.

5. Customer Content and Model Improvement

Vitel Global will describe material uses of Customer Content for AI service delivery, model improvement, or training in applicable contracts, privacy documentation, product documentation, or settings. Vitel Global’s goal is to distinguish processing necessary to provide a requested AI feature from any separate use for generalized model improvement and to provide the disclosures, controls, or contractual commitments required by applicable law and customer agreements. Any public statement regarding use of Customer Content for model training or generalized model improvement will be based on the applicable product architecture, customer agreement, and relevant third-party provider practices.

6. Third-Party AI Providers

Some AI functionality may depend on third-party models, cloud services, or specialized providers. Where such providers process personal data on behalf of Vitel Global customers, applicable subprocessor and data-protection obligations apply. Vitel Global’s Subprocessor Disclosure should identify relevant subprocessors once the production architecture is verified.

7. Prohibited and High-Risk Uses

AI features must not be used in violation of the Vitel Global Acceptable Use Policy. Customers should not use Vitel Global AI as the sole basis for decisions that produce legal or similarly significant effects on individuals unless that use is lawful, appropriate for the product, subject to required safeguards, and permitted by applicable terms. Customers remain responsible for their own sector-specific obligations and human oversight.

8. Security, Testing, and Governance

Vitel Global applies AI governance processes proportionate to the nature and risk of the feature, which may include product review, security assessment, access control, vendor diligence, incident management, documentation, and monitoring. Material model or provider changes are evaluated in accordance with applicable product, security, privacy, and contractual requirements.
