Vitel Meet Privacy Supplement

Effective Date: September 16, 2026
Last Updated: September 16, 2026

This Vitel Meet Privacy Supplement (“Supplement”) describes how Vitel Global Communications LLC processes personal information specifically in connection with Vitel Meet. It supplements the Vitel Global Privacy Policy. If this Supplement and the Privacy Policy differ with respect to Vitel Meet, this Supplement controls to the extent of the inconsistency.

This Supplement is intended to explain product-specific processing. It does not replace a customer’s own privacy notices or legal obligations to meeting participants, employees, clients, patients, students, consumers, or other individuals whose information the customer chooses to process through Vitel Meet.

1. Scope and Roles

Vitel Global may process different categories of information in different legal roles. For example, Vitel Global may act as a business/organization responsible for its own account, billing, security, fraud-prevention, support, website, sales, and business-contact information. When a business customer uses Vitel Meet to process meeting content or other personal information on the customer’s behalf, Vitel Global generally processes that information as a processor or service provider to the extent required by applicable data protection law and the applicable Data Processing Addendum.

The customer determines whether to host a meeting, whom to invite, whether optional features are enabled, what is discussed or shared, whether a meeting is recorded or transcribed, how meeting content is retained, and how outputs are used. The customer is responsible for its own legal basis, notices, permissions, and consent obligations.

Vitel Global may receive information directly from customers and users; from meeting hosts and participants; from devices, applications, browsers, and networks used to access Vitel Meet; from account administrators; from customer-enabled integrations; and from service providers acting on Vitel Global’s behalf. Information may also be generated by Vitel Meet through operation of the Service, such as meeting metadata, diagnostics, transcripts, and AI outputs.

4. How Vitel Global Uses Information
  • Provide, operate, maintain, secure, authenticate, and support Vitel Meet.
  • Connect participants and deliver audio/video, chat, screen sharing, scheduling, recording, transcription, AI, analytics, and other enabled features.
  • Administer accounts, subscriptions, entitlements, customer support, and billing.
  • Detect, investigate, prevent, and respond to fraud, abuse, security incidents, service misuse, and violations of law or Vitel Global policies.
  • Monitor and improve service performance, reliability, accessibility, interoperability, user experience, and product functionality as permitted by the Agreement and applicable law.
  • Comply with law, legal process, regulatory obligations, and enforce contractual rights.
  • Create aggregated or de-identified information where reasonably designed so that it cannot be used to identify an individual, subject to applicable law.
5. Recording, Transcription, and AI Notices

Recording, transcription, monitoring, and AI analysis laws vary by location. Customers and meeting hosts are responsible for determining whether notice or consent is required before enabling these features and for providing any required notice and obtaining any required consent. Participants should not assume that a meeting is unrecorded merely because they do not see a particular device or person taking notes.

Where Vitel Meet provides an in-product indicator or notice that a meeting is being recorded, transcribed, streamed, or processed by an AI Feature, users must not intentionally defeat or conceal that indicator in violation of law or policy.

6. AI Processing

When an AI Feature is enabled, Vitel Meet may process meeting audio, transcripts, prompts, metadata, or other Customer Content to generate the requested output. AI outputs can be inaccurate or incomplete and may reflect errors in transcription, speaker identification, context, translation, classification, or inference.

The specific AI model providers, hosting providers, data flows, and retention practices applicable to Vitel Meet must be reflected in Vitel Global’s then-current Subprocessor Disclosure and product documentation. Customer administrators should review those materials before enabling AI Features for regulated or sensitive use cases.

[PUBLICATION CONDITION: Vitel Global must confirm and publish a clear statement regarding whether Customer Content is used to train or improve general-purpose AI models and whether any third-party AI provider is permitted to do so. This bracketed sentence must be removed and replaced with approved language before publication.]

7. Disclosure of Information

Vitel Global may disclose personal information to the following categories of recipients, as applicable:

  • Authorized users, hosts, participants, customer administrators, and persons with whom a user or customer elects to share meeting content.
  • Vitel Global affiliates and personnel with a need to perform support, security, operations, billing, legal, or other authorized functions.
  • Service providers and subprocessors that provide cloud infrastructure, communications, storage, security, support, analytics, transcription, AI, email, identity, or other services necessary to operate Vitel Meet.
  • Third-party integrations selected by the customer or user, subject to the third party’s terms and privacy practices.
  • Government authorities, courts, regulators, law enforcement, or other parties where Vitel Global reasonably believes disclosure is required by law or valid legal process, or is necessary to protect rights, safety, security, or prevent fraud or abuse.
  • A successor or prospective successor in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar corporate transaction, subject to appropriate safeguards and applicable law.

Vitel Global does not treat a customer-enabled integration as a Vitel Global subprocessor merely because a customer chooses to send information to that integration; the legal role depends on the integration architecture and contractual relationship.

8. Data Retention

Retention depends on the type of information, the customer’s subscription, administrator settings, product configuration, legal obligations, dispute or security needs, and technical backup cycles. Customers may be able to configure retention or delete certain recordings, transcripts, files, chats, and AI outputs. Vitel Global may retain limited logs, billing records, security records, or other information for longer periods where reasonably necessary for legal, security, fraud-prevention, contractual, or compliance purposes.

[PUBLICATION CONDITION: Product, engineering, and security teams should approve a public retention matrix identifying default retention, configurable retention, deletion behavior, and backup deletion periods for recordings, transcripts, AI outputs, chats/files, meeting metadata, and logs.]

9. Security

Vitel Global uses administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, destruction, loss, alteration, or disclosure. Security controls may include encryption, access controls, authentication, monitoring, secure development practices, vulnerability management, backups, and incident response, as appropriate to the Service and as described in Vitel Global security documentation.

No method of transmission or storage is completely secure. Customers are responsible for appropriate meeting settings, credentials, endpoint security, administrator permissions, access to exported recordings and transcripts, and the security of third-party integrations.

10. International Data Transfers

Vitel Global and its service providers may process information in countries other than the country where the customer or participant is located. Where required by applicable law, Vitel Global will use recognized transfer mechanisms and contractual safeguards, which may include applicable Standard Contractual Clauses or other lawful transfer mechanisms described in the Data Processing Addendum.

11. Privacy Rights

Depending on applicable law, individuals may have rights to request access, correction, deletion, portability, restriction, objection, or other rights concerning personal information. Where Vitel Global processes meeting content solely on behalf of a customer, individuals should generally direct requests to that customer because the customer controls the relevant information. Vitel Global will assist customers as required by the applicable Data Processing Addendum and law.

Requests concerning information for which Vitel Global acts independently may be submitted to support@vitelglobal.com. Vitel Global may verify identity before completing a request and may deny or limit a request where permitted by law.

12. Sensitive Information

Meetings may contain sensitive, confidential, privileged, financial, health, employment, biometric, student, or other regulated information. Customers are responsible for determining whether Vitel Meet is appropriate for such data and for implementing any required legal, contractual, security, retention, and consent controls. Vitel Global does not represent that every Vitel Meet configuration is suitable for every regulated use case.

13. Children

Vitel Meet is intended primarily for business and organizational use and is not directed to children for independent consumer use. Organizations that use Vitel Meet in educational or other contexts involving minors are responsible for obtaining required parental, school, or institutional authorization and for complying with applicable children’s privacy laws. Product-specific educational offerings, if any, may be governed by additional terms.

14. Automated Decision-Making

AI summaries, sentiment or engagement indicators, participant statistics, and other automated outputs are intended to assist users and are not designed to make legally binding or similarly significant decisions about individuals without appropriate human review. Customers must not rely on such outputs as the sole basis for employment, credit, housing, healthcare, legal, insurance, education, or similarly consequential decisions where prohibited or restricted by law.

15. Changes to this Supplement

Vitel Global may update this Supplement to reflect changes in Vitel Meet, law, security practices, or data processing. Material changes will be communicated in accordance with applicable law and contractual commitments. The “Last Updated” date will identify the current version.
