This Privacy Policy explains how Vitel Global Communications LLC and its relevant affiliates (“Vitel Global,” “Vitel,” “we,” “us,” or “our”) collect, use, disclose, retain, and protect personal information when individuals visit our websites, communicate with us, purchase or administer our services, use our applications and services, or participate in communications processed through Vitel Global. This Policy covers Vitel Global business phone services with AI features, Vitel Meet, Vitel SMS and Vitel AI Agents. This Notice applies where Vitel Global determines the purposes and means of processing personal information, including website visitors, prospects, customer administrators, billing contacts, support contacts, applicants, event participants, and users for account-management and service-operational purposes. Where an enterprise customer determines the purposes and means of processing Customer Content and Vitel Global processes that information on the customer’s behalf, Vitel Global generally acts as a processor/service provider and the Vitel Global Data Processing Addendum and the relevant product provisions of this Policy govern that processing.
The Vitel Global entity responsible for personal information depends on the relevant service, contract, location, and interaction. For U.S. website and general commercial interactions where no different entity is identified, Vitel Global Communications LLC is the responsible entity.

Where laws such as the GDPR or UK GDPR require a legal basis, Vitel Global relies, as applicable, on performance of a contract, steps taken at your request before entering a contract, legitimate interests that are not overridden by your rights, compliance with legal obligations, consent, or another basis recognized by applicable law. Where processing is based on consent, you may withdraw consent prospectively, subject to legal and contractual limitations.
We may disclose personal information to the following categories of recipients for the purposes described in this Notice:
Vitel Global does not sell personal information for monetary consideration. Depending on how advertising or analytics technologies are configured, certain disclosures may be treated as “sale,” “sharing,” or targeted advertising under some U.S. state privacy laws even when no money is exchanged. Where such laws apply, Vitel Global will provide the legally required notice and opt-out mechanism through its cookie or privacy controls.
Customers and meeting hosts determine whether and how many Vitel services are used, including whether meetings are recorded, transcribed, summarized, analyzed, shared, exported, or retained. Participants should review notices provided by the customer or host and any in-product indicators before participating in recorded, transcribed, or AI-assisted communications.
Sections 18 through 20 explain product-specific processing, including Vitel Meet. AI-generated content can contain errors and should be reviewed before consequential use. Vitel Global’s contractual commitments concerning AI and Customer Content are described in the Vitel AI Supplemental Terms and applicable customer agreements.
Vitel Global and authorized providers may use cookies, local storage, pixels, SDKs, and similar technologies to operate websites and applications, remember preferences, measure performance, secure sessions, understand usage, and, where permitted, support marketing. The Vitel Global Cookie Policy provides additional information. Where required by law, non-essential cookies will be used only after appropriate consent and can be managed through the Cookie Settings control.
Vitel Global operates internationally and may process personal information in countries other than the country where it was collected. Where required, Vitel Global uses recognized safeguards for restricted transfers, which may include contractual clauses, transfer addenda, adequacy mechanisms, or other lawful transfer tools. Enterprise customer transfers are also addressed in the Vitel Global Data Processing Addendum where applicable.
Vitel Global retains personal information for as long as reasonably necessary for the purposes described in this Notice, including to provide the Services, maintain business and transaction records, comply with law, resolve disputes, enforce agreements, maintain security, and satisfy legitimate operational requirements. Retention periods vary by data type, product, customer configuration, contractual requirement, legal obligation, backup cycle, and security need. Customer-controlled content may be subject to product-specific retention settings or customer instructions. Vitel Global will delete or de-identify information when it is no longer reasonably required, subject to lawful exceptions.
Vitel Global uses reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, acquisition, disclosure, alteration, loss, or destruction. No system can be guaranteed completely secure. Customers and users also have responsibilities, including protecting credentials, using appropriate access controls, maintaining secure devices, and configuring sharing, recording, and retention settings appropriately.
Depending on your location and the context of processing, you may have rights to request access, correction, deletion, portability, restriction, objection, withdrawal of consent, or information about categories of processing and disclosures. Certain U.S. state laws may also provide rights to opt out of sale, sharing, targeted advertising, or certain profiling, and to appeal a denied request. Rights are subject to legal exceptions, verification, and the role in which Vitel Global processes the information.
The Vitel Global Privacy Rights and Data Protection Notice explains how to submit and appeal requests. If Vitel Global processes your information only on behalf of a customer, we may direct you to that customer because the customer controls the relevant data and request response.
You may unsubscribe from marketing emails using the link in the message or by contacting us. Transactional, security, billing, support, and other service-related communications may continue where necessary. Messaging and calling preferences may be subject to additional consent and opt-out rules based on the communication channel and jurisdiction.
Vitel Global’s business services are not directed to children. We do not knowingly offer accounts directly to children below the age at which they can lawfully consent to the relevant processing without parental authorization. If you believe a child has provided personal information to Vitel Global inappropriately, contact us so we can review the matter. Customers that use the Services in educational or other contexts involving minors are responsible for satisfying applicable notice, consent, and authorization requirements unless otherwise agreed in writing.
To the extent applicable U.S. state privacy laws require additional disclosures, the categories of personal information we collect generally correspond to identifiers and contact information; customer records and commercial information; internet or electronic network activity; geolocation at an approximate level where derived from IP or device settings; audio, electronic, visual, or communications information; professional or employment-related information; and inferences or analytics generated from use of the Services. We use and disclose those categories for the business and commercial purposes described in this Notice. We retain them according to Section 10 and do not use sensitive personal information to infer characteristics except where expressly permitted and necessary for a requested Service or another lawful purpose.
We may update this Notice to reflect changes in law, technology, Services, or business practices. The “Effective Date” will identify the current version. We will provide additional notice or obtain consent for material changes where required. Before using Google user data in a new way or for a different purpose from the one originally disclosed, we will notify affected users and obtain the consent required by the applicable Google policies.

Vitel Meet is delivered through a unified customer portal. We process account and profile information, plan entitlements, administrator roles, licenses, billing history, support requests and usage records to operate and administer the service. The features described below apply when available under the selected plan and enabled or used.
Scheduling and participation involve meeting titles, identifiers, dates, recurrence, organizer and invitee information, contact groups, invitations, attendance and join or leave events. Guests may join with a display name without creating an account. Hosts manage waiting-room admission and breakout-room assignments. Dedicated phone dial-in processes the calling information and meeting credentials needed to connect the participant.
During meetings, we process audio, video, shared screens, chat and whiteboard content to provide collaboration. Enabled recording and cloud storage retain meeting content for playback. Transcription, highlights, tasks, speaker statistics and live translation process relevant meeting content to produce the requested outputs. Outputs can be inaccurate, and speaker statistics do not by themselves establish biometric identity verification.
The AI Customer Assistant processes the user’s requests and relevant authorized account or contact context to help with scheduling, contact management and product questions. Configurable AI Meeting Agents process administrator instructions and relevant meeting events or conversations to monitor enabled meetings and perform permitted actions. Hosts and administrators must inform participants of enabled monitoring and obtain required consent, including for phone participants who cannot see on-screen indicators.
Trusted IP controls process configured IP addresses or ranges and access-attempt information to enforce supported web access restrictions. Role-based administration determines access within the organization. API requests process credentials, meeting instructions and related logs. An administrator may access, export or delete information where permitted by the service and the customer’s settings.
Calendar connections may send confirmations, changes and cancellations. Contact synchronization and CSV import or export can copy information into or out of the portal. Recipients, hosts and administrators may retain copies of invitations, exports and shared content outside Vitel’s control. Customers should apply suitable permissions and retention settings.
Recordings, transcripts, AI outputs, chats, whiteboards, contact records and meeting metadata are retained according to their purpose, applicable plan and settings, contractual obligations and the retention principles in Section 10. Account disconnection, subscription cancellation and deletion are distinct actions. Contact support@vitelglobal.com for available export and deletion procedures; we will explain applicable legal or technical retention exceptions. No universal storage period or unrestricted export capability is promised by this Policy.
Organizations using Vitel Meet in settings involving minors or sensitive information must establish the necessary notices, authorizations and appropriate service configuration. AI outputs are intended to assist people and must not serve as the sole basis for prohibited consequential decisions.
When you authorize a Google or Microsoft connection, we access the data permitted by that connection to deliver the feature you choose. Vitel Meet supports connected calendars and contact synchronization. Contact information can include names, email addresses, telephone numbers and grouping information made available by the authorized service. Calendar information can include meeting titles, times, organizers, attendees and the event details needed for scheduling and notifications. The permissions presented during authorization identify the access being requested; permission must not be requested for an unrelated or undisclosed purpose.
We use connected contacts to populate the portal address book and resolve recipients for invitations. We use connected calendar information to support scheduling and the enabled confirmation, update and cancellation workflow. Access or refresh tokens, where issued, support the authorized connection. Connection records and synchronized information may be stored to maintain the requested service, with access limited to authorized systems and personnel. We protect this information under Section 11 and retain it only for the disclosed purposes and applicable retention obligations.
Google user data is not sold, used for advertising or credit decisions, or used to train or improve generalized AI or machine-learning models. Broad references elsewhere in this Policy to analytics, marketing, corporate operations or de-identified information do not expand the permitted uses of Google user data. These restrictions also apply to derived data to the extent required by Google’s policies.
Our use and transfer of information received from Google APIs adhere to the Google API Services User Data Policy, including applicable Limited Use requirements, and the Google Workspace API User Data and Developer Policy where applicable. See https://developers.google.com/terms/api-services-user-data-policy and https://developers.google.com/workspace/workspace-api-user-data-developer-policy.
For data subject to Limited Use, transfers are limited to providing or improving appropriate, prominently disclosed user-facing features with user consent, security purposes, legal requirements, or a business transfer with explicit prior user consent as required by Google. Human access is restricted to affirmative agreement to view specific data, necessary security or legal purposes, or permitted aggregated internal operations under the applicable policy. Providers receiving such data must comply with the applicable restrictions.
Calendar or contact access does not authorize access to unrelated Gmail messages, Drive files or other account content. A separate email Agent or other connection must disclose its specific access and purpose before authorization. A calendar or contact connection does not by itself authorize transferring that data to an AI model. Any such transfer requires an appropriate disclosed user-facing feature, the required consent and compliance with applicable Google restrictions.
You may revoke Google access at https://myaccount.google.com/connections. You may manage Microsoft permissions through the relevant Microsoft account or organization administrator and request Vitel disconnection assistance through Support. Revocation stops further access under that authorization but does not necessarily delete information already synchronized or copies shared with recipients. To request deletion of retained information, contact support@vitelglobal.com with the subject PRIVACY REQUEST. We process the request under Sections 10 and 12 and explain any permitted retention exceptions. Revocation may prevent connected features from working.
Business phone services process telephone numbers, call-detail records, routing, timestamps, duration and service-quality information. Voicemail, recordings, transcripts and AI-generated call outputs are processed when the applicable feature is used or enabled. Emergency-service processing may require a registered location and callback information.
Vitel SMS processes sender and recipient numbers, message content and media, delivery information, campaign registration information, consent evidence where supplied, and opt-out or suppression records. Carriers and delivery partners receive the information needed to route messages and enforce network requirements. A recipient may keep or forward a message after delivery. Marketing consent is handled separately from acceptance of this Privacy Policy.
Vitel AI Agents process the input and connected business information necessary for their configured functions. Barry supports reception; Callie supports outbound voice; Ellie supports customer support; Leo supports sales; Perry supports email; Polly supports avatar chat; Sally supports WhatsApp; and Otto supports meeting summaries. Actual functions and data access depend on the accepted scope, permissions, enabled integrations and customer instructions.
Vitel does not use Customer Content submitted to AI Features for general-purpose model training or improvement and requires applicable AI providers not to use it for independent training or improvement. The applicable Agent agreement and any executed BAA may impose further restrictions. Product configuration or tuning for a particular customer must follow those agreements and does not authorize cross-customer model training.
Business customers control their communication purpose, participants, scripts, recipients and enabled features. Individuals interacting with a customer’s Agent should also review that customer’s privacy notice. PHI may be processed only within an expressly supported service configuration and applicable executed BAA; the availability of an AI Agent does not establish that every channel or provider is approved for PHI.
